Sending E-mail

Within EZ2000 Plus Dental you can send or receive an e-mail. E-mail can be used internally, or to send and receive general e-mails that do not contain confidential information.  To enter e-mail settings, see E-mail Setup.  To receive e-mail, see E-mail Inbox.

EHR:  EHR providers who want to send confidential patient information to another provider can do so using Direct Messaging.  Both sending and receiving provider must use a certified EHR software and have trusted security certificates installed.

Sending E-mail
E-mail can be sent without encryption (non-confidential information), or via Direct Messaging. If an E-mail button is disabled, an e-mail address has not been entered on the Patient Edit window.

Click E-mail.

When you first open the window, it will be in compose mode, and all areas should be enabled. At the top, the Sent/Received status will be Neither and the Date/Time will be Unsent.  E-mail message content can be entered from scratch, or use a template.

From/To: May be automatically populated with e-mail addresses entered in E-mail Setup or on the Patient Edit window, but can be changed.

E-mail Templates: Insert an e-mail template into the Subject and body of the message. Highlight the template, then click Insert. The template will replace any existing text. See Templates below.

Delete:  The e-mail will be deleted from the database, but will remain on the mail server. Deleted e-mails will not download again.

Attach: Attach an image or file to the e-mail. Attached files will list in the box. Double click to preview. Right click to Open, Rename, or Remove.

Save: Save the e-mail and close the window. The e-mail will list in the Chart, Progress Notes, but will not be sent.

Direct Message: For EHR only.  Send the e-mail to the recipient using Direct Messaging. The e-mail will be sent from the default e-mail address defined in E-mail Setup.  Both sending and receiving provider must use a certified EHR software that supports Direct messaging.  See Direct Messaging vs Standard Encrypted E-mail.

Send:  Send the e-mail.  The e-mail will not be encrypted.  See Feature Request #2211.

When you send an e-mail, it is sent out immediately. Every sent e-mail is permanently saved and viewable in the Account module and the Chart module. Sent e-mails can be viewed or deleted, but not edited or resent.

Templates
For frequently sent e-mail messages that have similar content, you can setup up templates.  In the E-mail Template area, click Add.

Enter a Subject and the body of the e-mail, then click OK.
